The legality of pay slips issued by the company must first be verified.

Dematerialized pay slips are strictly regulated by law. Before implementing a digital document system, companies are required to check that they comply with the law.
Firstly, the employer must include the same information on the digital pay slip as on the paper documents. Salary, number of hours worked, contributions and identifications: the electronic pay slip must be similar to its paper version.
Secondly, the introduction of the dematerialized pay slip does not require the agreement of employees. However, the employer is obliged to notify employees one month before the introduction of the digital pay slip, or directly when they are hired.
Finally, employees have the option of demanding a return to paper format. In the event of opposition, the company is obliged to provide the employee with a paper version of the pay slip.

Creating and issuing electronic pay slips

Digital pay slips must be issued within a secure framework to guarantee data integrity. Wage slips issued to employees electronically must first be signed electronically, to guarantee their integrity: the employee has an electronic copy, enabling him or her to assert long-term rights
Generally speaking, the company is required to verify the security and confidentiality of all processes put in place for the production and distribution of digital pay slips. If it fails to do so, it will be held responsible.

Archiving and consulting pay slips

Issued pay slips must be stored in a secure personal space. This means they can't be sent by e-mail! Storage must comply with standard NF Z42-020, which stipulates the rules to be respected for a "digital safe" to guarantee data security.
In addition, dematerialized pay slips must be available for 50 years, or until the employee turns 75. Even if the company goes out of business, employees will still have access to their personal space, as it is independent of the company. In order to retrieve their documents and ensure their preservation.
