- We only ask for or process your personal information if it is essential or if you have given us your consent to do so.
- We do not share your personal data with anyone, except to comply with the law, to assist you or to protect our rights or if you have given us your explicit consent to do so.
Please find below our data protection policy, which sets out these principles.
SAGES Informatique may operate or implement certain digital tools accessible via the Internet network (hereinafter, the Sites, or separately, a Site).
In what follows, "Customers" (and in the singular "a Customer") refers to organizations for which SAGES Informatique is a direct or indirect subcontractor, i.e. in the latter case via Partners, and "Partners" (and in the singular "the Partner") refers to organizations that are resellers, distributors and/or integrators of Zeendoc, the electronic document management solution published by SAGES Informatique, and "User" (and in the plural "Users") refers to Internet users of the various sites as well as users of the various Services and products published by SAGES Informatique, regardless of whether or not SAGES Informatique has a contractual relationship with them (Customers or end-users).
SAGES Informatique's policy respects the confidentiality of information that SAGES Informatique may collect in connection with the operation of its websites, its commercial management, its internal management (human resources, accounting, etc.), and the provision of Services.
SAGES Informatique undertakes, within the scope of its activities and in compliance with the legislation in force in France and Europe, to ensure the protection, confidentiality and security of the personal data of the users of its services, as well as to respect their privacy.
To make it easier to read this policy, the text has been drafted at two levels: one level of text to be legally taken into account ("legal text") and another level of text "otherwise said", boxed and in italics, which is non-binding. Our aim in doing this is to help you gain a better understanding of what we mean, how your data is processed, what you can expect from us and what we expect from you.
In other words We've written these texts "in other words" so that you can better understand our practices. Nevertheless, the text to be taken into account, if necessary, is the one written outside the "otherwise said" inserts.
We know that you are concerned about the use and sharing of your personal data, and we appreciate the trust you place in us by providing it. Please be assured that we will take the utmost care of it. By visiting our websites, creating an account on one of our sites, using our Services or contacting us, you accept the practices described in this data protection policy.
In other words By continuing to visit the site, by providing data to place an order or to contact us, you acknowledge that you have read and accepted this policy.

In this respect, SAGES Informatique has completed all necessary administrative formalities with the competent authorities. Please note that documents and data stored within the Service are encrypted. The creator of an account via the Service may explicitly grant access to some of the data that it has provided and stored in the application, or that has been provided and stored by Customers, in particular to Customers' employees, service providers or partners, various parties involved in the use of the Services, as well as to SAGES Informatique teams and in particular for technical support purposes.
In any event, it is the User (generally acting on behalf of or under the authority of a Customer) who decides to store personal data, which is under his sole responsibility, via the Services, to grant access to his data and who has full control over it, including with regard to the documents stored there, which can only be consulted by the persons to whom he has granted access.
Each User is responsible for the data he/she provides in the application and, as such, is responsible for providing data that concerns him/her or that he/she has collected in compliance with regulations. When establishing commercial relations with its customers, SAGES Informatique draws up Data Protection Agreements (DPA) specifying the contractual framework governing the processing of personal data carried out by SAGES Informatique on behalf of its customers.
In other words : Users are responsible for the data they have provided and which is processed by the Service, which carries out processing using this data. As a subcontractor, we on our part put in place a contractual framework that complies with the RGPD.

We may also process some of your data to carry out analyses and studies in order to improve ourselves, to prospect or develop the loyalty of our customers and users and to manage disputes. For all these purposes, we require personal data. Other data concerning you will only be processed with your consent.
The Service is intended to provide certain services to users, who retain control over the data they supply.
4 Data Protection Officer
SAGES Informatique is not formally required to appoint a Data Protection Officer. Nevertheless, even if such a Data Protection Officer is not officially appointed, a similar function is performed within SAGES Informatique.
SAGES Informatique has appointed SysStreaming as its Data Protection Officer (DPO). The DPO can be contacted at dpo@zeendoc.com.
5 Retention period for personal data
Personal data collected by SAGES Informatique on its own behalf is kept only for the time required to achieve the objective pursued at the time of collection or to comply with legal and regulatory provisions.
More specifically, the retention periods for the following data are :
5.1 As data controller
- Data collected when an account is created for use of the Service: for the duration of use of the Service by the person concerned, plus up to 6 years after the last use.
- Data collected when placing an order, requesting a quotation or requesting a partnership: for the duration of the contractual relationship and 3 years after the end of said relationship. We do not keep your data any longer than necessary or required by law. For example, the law requires us to keep invoices for your orders, delivery notes, etc., for 10 years.
5.2 As a subcontractor
The retention period is determined by the Customer
- By default: During the contractual relationship with the Customer, plus the legal retention period. The Customer has the option of autonomously deleting the data he/she has chosen to have processed by one of the Services. Each User may independently deactivate his/her account and, consequently, the data processing associated with it.
- Access log data: 12 months maximum
In other words The data we process on behalf of our customers is kept for the time required to fulfill the purposes for which it was collected, and is under the customer's control. It has the option of deleting them when it deems that their retention is no longer necessary.
6 Scope of data collected
In order to use the SAGES Informatique websites and Services and to process orders placed with SAGES Informatique, we may collect and process the following personal data:
- Civility, surname and first name of persons having purchased a product from Sages Informatique and of persons having contacted us, of candidates for a job offer and of visitors and users of our Services, of persons taking part in one of our games or competitions, etc.

- Connection data (IP address, browsing history, technical details of terminals, language and browser characteristics, etc.)
- Data contained in resumes and cover letters of job applicants
- Data provided by the persons concerned, in particular in the context of contacts, requests for information, quotes, catalogs, etc.
- Solution user data :
- e-mail address
- password fingerprint
- interface language
- time zone
- access logging
- All personal data contained in documents uploaded to the Service. As such, SAGES Informatique has no control over the decision made by the Customer and Users to upload documents to Zeendoc or one of the Services, nor any means of determining or predicting what data these documents contain or will contain. The Customer and Users are the only parties capable of determining and documenting said categories of personal data.
Connection data is collected and processed, in particular the IP address used for connection: this is necessary to be able to assist Users, to implement our security measures, and to satisfy our legal constraints, in particular with regard to the traceability of access and use.
In other words We need your contact details and email address in order to communicate with you regarding the use of SAGES Informatique services, to contact you, to respond to your requests, in particular for partnership, and to process your applications for our job offers. We also need your telephone number in order to contact you or ensure your identification, and connection data in order to assist you and fulfil our obligations, in particular traceability obligations.
You should never share your account information used to log in to the services, including your username and password or your login link, with anyone. We recommend that you regularly check your account to ensure that your data has not been altered or modified. You indemnify SAGES Informatique against any claim, demand or request from third parties alleging infringement of their rights arising from your use of the Services. You acknowledge that any use of the Services with your identification details is presumed to have been made by you and will be attributed to you.
In other words The confidentiality of your information is also your responsibility. Don't share your credentials. Take care with the passwords you create, and make them unique and difficult to guess.
On the legal basis of SAGES Informatique's legitimate interest in providing you with the most effective offers and improving the quality of its services, SAGES Informatique may implement Machine Learning algorithms , in particular in order to be able to create document models from certain similar documents deposited in Zeendoc.
The aim of this processing is to provide Zeendoc users with an optimum service for recognizing document structures, in particular the graphical objects present in documents, and thus to enable specific recognition of certain dedicated fields (barcode, date, amount excluding VAT, amount including VAT, etc.) so as to subsequently enable the implementation of automated processing of the contents of said fields (for example, accounting tallying from accounting documents).
The structure of the documents themselves is analyzed, to enable the implementation of automatic ARD (automatic document recognition) and ADR (automatic document reading) systems.
This enables Zeendoc users to automatically classify documents, extract and index data automatically or semi-automatically, and structure them for later reuse by certain automated processes.
Processing for RAD/LAD templates can also be carried out manually or semi-manually, based on the structure of certain documents deposited in Zeendoc.
Specific data contained in the documents and not intended to form part of the RAD/LAD model created, including personal data present in the documents, are not analyzed during these processing operations. It is therefore impossible to make the link with the data subjects. In fact, the processing operations used to create the ARD/ADL models neither generate nor consume personal data.
7 Location of treatments
The processing that SAGES Informatique may carry out on personal data is mainly carried out in data centers hosted by its service providers in France or Europe.
If SAGES Informatique, a service provider, supplier or subcontractor of SAGES Informatique carries out processing of personal data in a country that is not in the European Union or in a country on the list of countries recognized as adequate, while having provided the necessary guarantees (for example by having adhered to programs or mechanisms recognized as adequate by the European Union or by having implemented Binding Corporate Rules), the contractual relations between SAGES Informatique and such third party shall require the implementation of appropriate guarantees. In other words The data you have entrusted to us will only be passed on if necessary, or if you have given us permission to do so. The recipients of your data, including us, provide all the necessary guarantees so that you can rest assured.
9 Transfer of processed data to third parties
The data that you provide or that is collected by SAGES Informatique or on its behalf is not transmitted to third parties, except, potentially, to the recipients mentioned above.
In other words We do not pass on your data, except in the cases we have already mentioned.
10 Transfer of data to a third country outside the European Union
Some of the data you provide or that is collected by SAGES Informatique or on its behalf may be transmitted to third parties operating outside the European Union. These third parties all provide sufficient assurances in compliance with regulations in order to guarantee the security, confidentiality and protection of personal data.
In other words We do not pass on your data, except in the cases we have already mentioned. When we do, it is to recipients operating in a country whose law requires compliance with the basic principles of fairness, transparency and confidentiality, or to recipients who provide all the necessary guarantees to reassure you and us.
11 Sales prospecting

Each digital commercial or informational communication from SAGES Informatique (e-mail, SMS, etc.) contains a link or instructions allowing the user to object to future similar communications.
In other words If you have provided us with your e-mail address or cell phone number and have given us permission to do so, or if you are one of our users and have not objected, we may send you informative or promotional e-mails and SMS messages. You may refuse to receive such e-mails and SMS at any time.
12 Exercise of rights
As a User of our Sites or Services or as a person whose data is processed by our Services, you have the right to:
- request that your personal data be deleted from our files. This is known as the right to be forgotten. That said, we cannot delete some of your data as long as there is ongoing processing that concerns you or, more generally, as long as we need your data to perform a contract or fulfill one of our obligations;
- to object to the collection and processing of data concerning you where this is not strictly necessary;
- access and retrieve certain personal data processed in connection with the Services in a standard electronic format;
- obtain rectification, in particular, where possible, autonomously via the interfaces provided for this purpose in the Service;
- to request a limitation of their processing - in particular, by requesting that a retention period be extended (for example, with regard to elements that you provided when using one of the Services) in order to manage a possible dispute or litigation.
Furthermore, as a candidate who has applied for a job with our company, you have the right to :
- request that the data you provided when applying for a job, in particular your CV and covering letter, be deleted from our files. As long as a candidate has not made this request, and within a limit of 2 years after the last contact with the candidate, it is in our legitimate interest to keep the data of this candidate so as to enable the best match between the positions offered and the people who can fill these positions.
When SAGES Informatique processes your data on its own behalf, these rights may be exercised by sending an e-mail to dpo@zeendoc.com, by contacting us using the contact details mentioned at the beginning of this policy or available on our website.
When SAGES Informatique processes data as a subcontractor (in particular when you use one of our Services or data concerning you is processed by one of our Services) these rights must be exercised directly with the organizations, Customers, to which you belong.
Nevertheless, the Service offers functionalities enabling you to exercise some of your rights independently. Please note that when your data is processed on behalf of a third-party organization in connection with the use of the Service, SAGES Informatique will forward to this organization any request received relating to the exercise of your right: only the organization is authorized to satisfy your request.
You also have the right to lodge a complaint with a supervisory authority and to take legal action, particularly if your requests to exercise your rights have not been dealt with to your satisfaction within one month of being made. In France, the supervisory authority is the CNIL, which can be contacted via the appropriate forms on its website cnil.fr.
In other words You have control over some of the data you have entrusted to us. You can, under certain conditions, ask to access or retrieve it, request that it be deleted or that it be used only for certain purposes and not for others, for example, that it not be used to send you information or commercial offers. Wherever possible, we will do our utmost to satisfy your requests as quickly as possible.
13 Data output
In accordance with articles 84 and 85 of the amended French Data Protection Act 78-17 of January 6, 1978, you may formulate instructions concerning the retention, deletion and communication of your personal data after your death. These directives may be general or specific.
You can formulate your advance directives by contacting us by e-mail at dpo@zeendoc.com.
In other words You have control over the data you have entrusted to us, and you can give us instructions to be applied after your death, if we still have data about you at that time, which we hope will be as late as possible. For example, you can ask us to delete your data or pass it on to a specific person.
14 Data security
SAGES Informatique takes all reasonable and necessary measures to protect processed data against unauthorized access, use, modification or destruction of personal (or potentially personal) data.

We are committed to the security of our Services and have put in place physical, administrative and technical measures to prevent unauthorized access to your data. Our security policies cover security management for internal operations and our Services. These policies govern all areas of security applicable to the Services and apply to all SAGES Informatique employees as well as to our service providers and subcontractors who require access to such data.
In other words We are very concerned about the security of the data you entrust to us.
We assess and respond rapidly to incidents that give rise to suspicions of unauthorized data manipulation. Our teams are informed of such incidents and, depending on the nature of the activity, define processes and response procedures for dealing with incidents. If we determine that your data has been misappropriated or otherwise wrongly acquired by a third party, and that this poses a significant risk to your rights or freedoms, we will inform you and the supervisory authority (the CNIL in France) as soon as possible.
In other words Our teams monitor and supervise all suspicious activity, and are mobilized to keep it to a minimum.
15 Subcontracting
SAGES Informatique only uses subcontractors who provide sufficient guarantees that appropriate technical and organizational measures have been implemented so that the processing complies with the requirements of European regulations and guarantees the protection of the rights of the data subject.
In other words When we need subcontractors, for example to host your data or process your orders, we only choose subcontractors who have given us sufficient guarantees to reassure both you and us.
16 Disposal of assets
If SAGES Informatique, or substantially all of its assets, is sold, or in the unlikely event that SAGES Informatique goes out of business or goes bankrupt, user, prospect and customer information would be among the assets transferred to or acquired by a third party. You acknowledge that such transfers may take place and that any acquirer of SAGES Informatique may continue to use your personal data in accordance with this data protection policy.
In other words If our company is sold or transferred, your data will be passed on to the new owner, as it is one of our most valuable assets. But we guarantee that your data will be handled at least as well by the new owner as by us.

In the event of a change in this policy, you may be required to accept it again when you connect to the Service, even if you had previously accepted it.
In other words We may make changes to the way we process your data, but with a level of protection that is at least equivalent to that set out in this policy. Most of the time, these changes are minor. We don't systematically burden you with our new data protection policies by asking you to accept them again, but we're happy for you to come along from time to time and read the policy that applies. And remember, if you ever disagree or no longer agree with our policy, or have a question, or want to exercise any of your rights, just write to us at dpo@zeendoc.com
